The "Hand" acts as a liaison and facilitator for the CEO, increasing her ability to lead and grow the organization effectively.  The role includes working with the leadership team, clients, and vendors; coordinating and carrying out the company's vision. This highly versatile position is ideal for a high-energy, highly organized individual who is an effective problem solver, able to juggle multiple projects and situations, and is highly adept at serving as the primary contact for internal and external constituencies on all matters to the CEO.

Job Summary

The Executive Assistant is a confidante, liaison, and 'The Hand' of the CEO.  Responsibilities are diverse, from calendar orchestration to special projects to stand-in for internal leadership meetings and external business meetings. The individuals must be able to exercise a high level of judgment, work independently, and juggle a variety of day-to-day responsibilities and surprises through their incredible ability to organize and prioritize. "The Hand" will support all of the CEO's business and personal interests.



  • Sophisticated calendar management – strategically manage the CEO's time and calendar by exercising discretion and decision-making while sorting and filtering requests for the Executive's time and ensuring strategic priorities are met on time. Keep the CEO on schedule by providing prompts.
  • Facilitate the CEO's ability to effectively lead the organization by completing a broad range of administrative tasks. Assisting with special projects; pulling together complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintain contact lists; making travel arrangements, etc.
  • Serve as the primary contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential and critical nature. Organize, prioritize, demonstrate good decision-making, respond, and refer, exercising judgment to reflect the CEO's style and organization policy.
  • Working closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Keep in tune with the "pulse" of the CEO's interests, having a sense of the issues taking place in the environment, and keeping the CEO updated. Anticipate the CEO's needs in advance of meetings, conferences, etc.
  • Executive team meetings and retreat, coordinate, establish agenda and create and pull together materials
  • Manage all aspects of the organization's office and services. Evaluate and assist in developing office policies, assist with selecting vendors, and purchasing equipment, services, and supplies for the operation, working jointly with the Finance Manager [our numbers Guru].
  • Other functions, provide hospitality to all guests, answer the main phone line and respond to inquiries, process and distribute mail, work hand-in-hand with the Finance Manager to replenish office materials, manage information systems operations
  • Provide "gatekeeper" and "gateway" roles, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Leadership Team.
  • Other projects/duties as assigned for the overall benefit of the CEO's business and personal interests.

Qualification and Experience

  • Significant executive support experience, experience working for CEO's of private businesses is highly-preferred
  • Strong verbal and written communications skills
  • Exceptional organizational skills and impeccable attention to detail
  • High degree of professionalism in dealing with a diverse group of people, from leadership to lawyers, accountants, clients, and vendors.
  • Ability to complete a high volume of projects tasks and projects with little or no guidance
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Excellent judgment
  • Ability to shift gears at a moment's notice
  • Bachelor's degree (BA/BS) from a four-year, accredited college or university or equivalent
